What Personal Information will we gather and hold about you?

We collect the following data for new users of the Learning Hub requesting access:

    • Name
    • Email address
    • Company/organisation name
    • User login details
    • Reason for accessing the Learning Hub

What is the legal basis for using your personal information?

Processing is necessary for the purposes of the legitimate interests pursued by the controller or by a third party to ensure effective management and administration of the Learning Hub.

Why do we use and collect your personal information?

Access to the Learning Hub and uploaded resources is controlled to support our commitment to information sharing with industry partners and stakeholders, while ensuring compliance with data protection requirements. This ensures usage of potentially sensitive commercial and technical information is monitored at the point of distribution.

How will we use the personal information we hold about you?

Personal information will only be used for the purposes of administration of the Learning Hub site and managing relevant communications with industry partners/stakeholders.

We will use the data to:

Ensure reliability of user access to the Learning Hub as required and ensure availability of help and support services in the event of any site content or accessibility issues. The Light Rail team may also use these details to make  contact with industry partners/stakeholders where specific topics/themes may be of interest for further development or respond to technical/operational queries on Tram Train as a mode option.

How do we store and protect your personal information?

Your personal information will be stored in WordPress and supporting approved secure plugins. Access to this data will only be given to individuals directly associated with administration of the Learning Hub site. We have strong security measures in place to prevent your personal information from being accessed and misused. Network Rail have procedures in place to deal with any suspected personal data breach and will notify you (and the regulator) of a breach where we are legally required to do so.

How long will we keep your personal information?

The data will be stored for the duration your Learning Hub user account is active. Regular audits are undertaken to ensure inactive accounts are managed for security reasons, and you will be contacted in the event that your account is flagged for an extended period of inactivity. Some limited information such as name, employer and email address may be retained beyond this time period to allow the Light Rail team to contact applicable industry partners/stakeholders in the event that any relevant themes or discussion topics are raised subsequently.

Will appropriate procedures be in place to handle enquiries, complaints and rights requests or requests for information?

A Contact form is provided as part of the Learning Hub resources to allow users to raise queries or support issues regarding the site. A dedicated contact email address is also available to manage ongoing general  communications. Direct contact may also be made between administrators and relevant industry partners/stakeholders where a specific business/commercial requires them to do so.
